The Joinways mobile app

Get your inquiries on your phone, reply from your mailbox and follow your events with the Joinways app for Android.

Updated

An inquiry arrives during a site visit or a service. By the time you are back at the desk, the client may already have written to another venue.

The Joinways mobile app notifies you of every new inquiry and lets you reply from your phone, with the calendar in view. It works on the same data as the web: inquiries, events, quotes, BEOs, tasks and reports.

What you'll learn

  • Install the app and sign in.
  • Turn on new inquiry notifications.
  • Handle an inquiry and follow an event from your phone.
  • Know what stays on the web.

Prerequisites

  • An Android phone or tablet. The iPhone and iPad version is in preparation.
  • A Joinways account. You can also create one from the app, with a 30-day Pro trial and no credit card.
  • To reply to clients from the app: a Gmail or Outlook mailbox connected to Joinways.

1. Install the app

The Joinways app is available on Google Play for Android. It follows your phone's look (Material 3) and also has a tablet layout.

On the web, "Settings" > "Notifications" shows the "Get your inquiries on your phone" card with the Google Play button. The App Store button says "Coming soon on" until the iPhone version is published. The same card appears in the setup guide.

The "Get your inquiries on your phone" card with the App Store and Google Play buttons
"Settings" > "Notifications": the app card, Google Play available, App Store coming soon (shown in French).

2. Sign in

Open the app, tap "Sign in", then pick a method:

  • Email code: enter your address, tap "Get code to your email", then enter the 6-digit code you receive.
  • Google or Microsoft: tap "Continue with Google" or "Continue with Microsoft" and pick your account.
  • Apple: offered on iPhone and iPad, once that version is available.

If two-factor authentication is on for your account, a second "Two-step verification" screen appears after sign-in. Enter the 6-digit code from your authenticator app (Google Authenticator, 1Password, Authy…). Two-factor authentication is turned on on the web, in "Settings" > "Security & Access".

Do you belong to several workspaces? Switch workspace from "Profile".

3. Turn on notifications

The "New request" notification stays off until you turn it on. To receive it on your phone:

  1. Open the "Menu", then "Profile".
  2. Under "Notifications", turn on "On this device" and accept the system prompt.
  3. Open "Notification preferences" from the menu.
  4. On the "New request" line, turn on the "On this phone" column.

Preferences are grouped in four sections: "Requests", "Events and tasks", "Conversations", "Quotes and sales". For each type, you choose where it arrives: "In the app", "On this phone", "By email". You are never notified of your own actions.

4. Handle inquiries

The "Requests" tab lists inquiries "To process", "Converted" and "Rejected". An inquiry opens on its summary, the original message and the conversation.

  • "Reply" sends your answer from your connected mailbox, in the same thread.
  • "Convert" creates the event: venue, dates, status and an optional title.
  • "Reject" asks for a reason; "Archive" files the inquiry away.
  • The venue calendar opens from the inquiry to check which rooms are free on the requested date.

Emails display as they were received. Remote images wait for "Show images". In dark mode, the email's colours are adjusted to stay readable.

5. Follow events

The "Events" tab offers "Upcoming", "Past" and "Calendar". An event page has the same tabs as the web: "Overview", "Emails", "Quotes", "BEO", "Tasks", "Notes", "Files" and "History". You change the event status from there.

  • Quotes: "New quote" creates a draft, line by line, from the venue's "Catalog" or with "Generate with AI". Layout and terms are set in the web editor. For a draft, "Mark as sent" or "Show the draft" makes the quote visible to the client on their link; "Hide" removes it.
  • BEO: you can edit it from the app. The "Proposal" and "Client form" panels show the lines of the approved quote and the client form answers, with "Carry everything into the BEO".
  • Tasks: the "Tasks" entry of the menu groups "Open", "Mine" and "Done". A task assigned from the phone notifies its assignee.

6. Reports and the Joinways agent

"Reports", in the menu, shows the web overview: the month against its goal, the bookings ahead, holds, win rate, first response and what is waiting for the team. The other report tabs stay on the web. The "Operations" role does not have this entry.

"Joinways agent", at the top of the menu, opens the agent. Opened from an inquiry or an event, it knows which record you are on. Every change it proposes waits for your "Confirm".

What stays on the web

  • Venue and space settings ("Venues" in the menu opens the web).
  • Subscription and billing.
  • Quote layout and terms.
  • Shared addresses, distribution lists and other providers, which are set up with forwarding.
  • Two-factor authentication and changing your email address or password.

Troubleshooting

I get no notification for new inquiries

Cause: "On this device" is off, or "New request" is not on in "On this phone". Solution: check both settings, then the Joinways notification permission in your phone's settings.

"No account exists with this address."

Cause: the address entered matches no Joinways account. Solution: use your account's address, or tap "Create an account".

"This code is wrong or has expired."

Cause: the email code is wrong or too old. Solution: ask for a new code. Check your spam folder.

"Reply" cannot send

Cause: no mailbox with permission to send is connected. Solution: open "Mailboxes" in the menu and tap "Connect a mailbox", or reconnect it and allow sending.

Frequently asked questions

Is the app available on iPhone?

Not yet. It is available on Android through Google Play. The iPhone and iPad version is in preparation; the App Store button on the "Get your inquiries on your phone" card says so.

Is the data the same as on the web?

Yes. The app reads and writes the same workspace, with the same role permissions. An action on the phone shows on the web, and the other way round.

Does signing out on my phone close my session on my computer?

No. "Sign out" only closes the phone's session, which then stops receiving notifications.

Does the app have a dark mode?

Yes. In "Profile", "Appearance" offers "System", "Light" and "Dark".
