Historic estates

Historic estate venue software.
Weddings and retreats.

An estate runs at two speeds: weddings decided twelve to eighteen months out, and corporate retreats signed within days. Joinways brings both into one calendar: every inquiry in one queue, tracked venue tours, proposals with deposits, a shared BEO.

The essentials: running a historic estate or wedding estate

An estate runs two businesses with opposite rhythms: weekend weddings (long cycle, private clients, tours and tastings) and midweek corporate retreats and offsites (companies expecting a fast answer). Joinways puts inquiries from both in one queue, keeps one multi-space calendar and follows every booking from first inquiry to final balance.

  • One queue for your inquiries: notifications from wedding marketplaces (The Knot, WeddingWire, Zola), Instagram, your website form and corporate emails land in the same place, key details extracted
  • A multi-space calendar with holds and conflict alerts: a Saturday already on hold or confirmed is flagged before anyone promises it again
  • Proposals with an online deposit via Stripe, amendments when the final guest count changes, a payment schedule tracked to the final balance
  • A shared BEO (banquet event order) for your caterer and vendors: timeline, guest counts, house rules
  • Scheduled follow-ups: after the tour, after the proposal, before the menu tasting and the final guest count
  • A CRM that separates private clients (couples, families) from companies (accounts, contacts, history)
What estates actually deal with

Two businesses, two sales speeds, one calendar to protect

The couple booking their June Saturday eighteen months out and the executive assistant who needs an answer for a retreat in three weeks cannot be handled the same way. When everything runs through one inbox and a spreadsheet, the same dates, the same spaces and the same team absorb both.

An estate courtyard at dusk: the shadow of the estate manager on the phone, a couple walking to the terrace and a car waiting by the steps
  • Two opposite cycles: a wedding takes twelve to eighteen months, with a tour and a tasting; a corporate retreat signs within days. The follow-up rhythm that suits one loses the other
  • Scattered channels: marketplace notifications (The Knot, WeddingWire, Zola), Instagram messages, wedding planners on the phone, corporate inquiries by email. Each one lands somewhere different
  • Peak season concentrates everything: from May to October every Saturday counts. One verbal hold or one outdated spreadsheet, and you get a double booking or a wasted prime date
  • The venue tour is the deciding step of a wedding. Without a follow-up in the days after it, the couple keeps visiting other venues and the date goes elsewhere
  • Deposit, tasting, final guest count, final balance, security deposit: each booking's payment schedule lives in a spreadsheet, and reminders depend on someone's memory
How Joinways handles it

One tool that respects both rhythms of your estate

Joinways puts inquiries from both businesses in one queue, keeps the calendar of all your spaces and follows each booking at its own pace: milestones and long follow-ups for weddings, same-day replies for corporate. You see at a glance what is confirmed, on hold or waiting for a tour.

  • Multi-space calendar with holds and conflict alerts: ballroom, conservatory, lawn and gardens, on-site lodging. A date requested twice is flagged immediately
  • Proposals with an online deposit via Stripe, amendments when the final guest count changes, a payment schedule tracked to the final balance
  • Shared BEO: timeline, vendors, timing constraints and house rules, accessible to your caterer whether they are in-house, on your preferred vendor list or chosen by the client
  • Scheduled follow-ups and a dual CRM: private clients (couples, families) and companies (accounts, contacts, retreat history), each with the right kind of tracking

What changes

An estate under control, from first email to final balance

Built so your two businesses can share one calendar without mistakes.

2 in 1

Weddings and corporate retreats

Two sales cycles in one tool: long wedding follow-ups and fast corporate replies stop getting in each other's way.

0

Dates promised twice

Every hold is on the calendar with its expiry date, and a date requested twice on the same space triggers an alert.

Same day

Replies to corporate inquiries

Dates, headcount and budget are extracted from retreat and offsite inquiries, so your answer goes out the same day, while the decision is still open.

  1. Weddings

From the marketplace inquiry to the final balance: venue tour, proposal with deposit, tasting, final guest count by amendment, BEO for the caterer and vendors. Every milestone has a date and a follow-up.

  2. Corporate retreats and offsites

Companies compare fast and decide fast. The inquiry arrives qualified (dates, headcount, budget), the proposal goes out the same day, and the company account keeps the history for the next retreat.

  3. Private celebrations and weekends

Milestone birthdays, cocktail parties, full buyouts with cottages and guest rooms: the calendar links spaces and lodging, and the BEO records the rain plan, timings and noise restrictions.

Built for an estate's real workload

Weddings are decided eighteen months out, corporate retreats in two days

From May to October, every Saturday is a scarce asset; in winter, the calendar slows down or closes. Estates that do well decide which dates go to whom, lock their milestones and fill weekdays with corporate business.

01

Protect peak-season Saturdays: a June Saturday does not sell like a November date. Stand behind your peak and off-season rates, and never leave a hold open without an expiry date

02

Treat the tour as the appointment that decides the booking: prepared (the lead is already qualified), followed by a debrief and a follow-up within three days, before the couple tours the next venue

03

Lock each booking's milestones: deposit at booking, tasting, final guest count by amendment, final balance and security deposit before the event day. Every milestone has a date and a reminder

Three numbers worth tracking for an estate

Three numbers worth tracking for an estate

  • Occupancy of May-to-October Saturdays (and the number of holds still open on them)
  • Inquiry-to-tour rate, then tour-to-signed-contract rate
  • Share of revenue earned midweek (corporate retreats): the part of the calendar with the most room left

A season rests on a handful of Saturdays

With so few of them, nothing can depend on one person's memory: the inquiry, the tour, the proposal, the deposit and the BEO live in one place. Peak-season Saturdays go at peak rates, and quiet weekdays fill up with corporate retreats while the weddings are being planned.

Illustrative scenario

A Hudson Valley estate that fills its weekdays without sacrificing its weekends

  1. The starting point

An estate with a ballroom, a conservatory and lawns, fully booked from May to October and closed part of the winter. Weddings fill the Saturdays, but corporate retreat inquiries received by email sometimes sit unanswered for days, and venue tours get no follow-up.

  2. What gets put in place

Marketplace notifications, the website form and the inbox all land in one Joinways queue. The calendar separates holds from confirmed bookings per space. Every tour triggers a follow-up three days later, every proposal goes out with an online deposit, and the BEO is shared with the preferred caterer.

  3. What the scenario illustrates

Corporate inquiries get a same-day answer and quiet weekdays start hosting retreats. Wedding bookings move milestone by milestone (tour, tasting, final guest count, final balance) with no reminder depending on memory. Everyone at the estate works from the same calendar.

Frequently asked questions

Can I manage weddings and corporate retreats in the same tool?

Yes. The CRM separates private clients (couples, families) from companies (accounts, contacts, retreat history), but there is one calendar: weddings, corporate events, holds and blocked dates share the same spaces, with conflict alerts. Each booking keeps its own rhythm: long follow-ups for weddings, fast replies for corporate.

Do my The Knot, WeddingWire and Zola inquiries land in Joinways?

Yes. The email notifications from those marketplaces arrive in your connected inbox (Gmail, Outlook) and therefore in the single Joinways queue, with the key details extracted: requested date, guest count, budget when mentioned. Instagram messages, your website form and corporate email inquiries land in the same place.

How do I track venue tours?

Each tour is an appointment on the booking. You note the debrief on the record afterwards, and if the couple goes quiet, a follow-up is already scheduled for the days after the visit. You can see at any time which couples still have a tour to book, which toured without getting a proposal, and which are waiting on an answer.

How do deposits and security deposits work?

The proposal includes a Stripe link for the deposit, and the date moves from hold to confirmed when it is paid. The booking's payment schedule then tracks the next milestones (tasting, final guest count, final balance) with scheduled reminders. The security deposit is recorded on the booking and on the BEO, with a reminder before the event day.

Can my caterer access the BEO?

Yes. The BEO is shared by link: timeline, guest counts, dietary requirements and allergies, timings, house rules. It works whatever your model: in-house catering, a preferred caterer list, or a caterer the client chooses freely.

How long does it take to get started, and what about migration?

You are live in half a day, with a full switch-over in two weeks: your spaces, your peak- and off-season rates and your proposal templates. Migrating your history (open bookings, contacts, confirmed dates) is free: you do not start from zero, and your already-signed weddings are in the calendar from day one.
