Unified inbox for venues

Every inquiry. Every channel. One inbox.

Inquiries come from everywhere: email, social, messaging apps, your website. Right now, they're scattered. Some get answered. Some don't. Joinways brings them all together.

From message to qualified inquiry, without manual entry

Every message that arrives — email, social, messaging apps — goes through the same structured process. No manual sorting. No missed opportunities.

What is a unified inbox for an event venue?

It's a single view where every inquiry arrives, whatever the channel: email, website form, WhatsApp, Instagram, listing platforms. Instead of four apps to watch, your team opens one screen, and every message is already linked to the right contact.

The event-specific part is what makes the difference. Every message is read as a potential inquiry: the date, guest count, event type and budget are extracted and structured, with no manual entry. A serious inquiry stands out in seconds.

The result shows up in your response time: less sorting, fewer hand-offs between colleagues, replies out faster. And since planners contact several venues at once, replying early has a direct effect on your conversion rate.

From message to event, in four steps

  1. 01

    The message arrives

Email, WhatsApp, Instagram or form — it all enters the same queue, visible to the whole team.

  2. 02

    Details are extracted

Date, headcount, budget, event type — the inquiry is structured and scored, with no manual entry.

  3. 03

    You reply

A suggested reply is drafted. You adjust it and send it from Joinways, on the original channel.

  4. 04

    The inquiry becomes an event

One click creates the pre-filled event. The conversation carries over and the history stays with it.

Why not a plain shared mailbox?

A shared mailbox centralizes email, but it knows nothing about your business. WhatsApp and Instagram messages stay outside it, the details stay buried in the text, and nobody knows which inquiry has been waiting since Friday.

An inbox built for events attaches every message to an inquiry, pulls out the information that matters and keeps the status visible. It stops being a sorting room and becomes the start of your pipeline.

Frequently asked questions about the inbox

Which channels can I connect to the inbox?
Gmail and Outlook, as individual or shared inboxes, plus WhatsApp and Instagram. Connection takes two minutes via OAuth, and every message lands in the same view.
What information is extracted from an inquiry?
Event type, dates, guest count, budget: the details are extracted from the message and structured, with no typing. Each inquiry also gets a score to prioritize the best opportunities.
Are inquiries from listing platforms recognized?
Yes. The notification emails sent by listing platforms (Peerspace, Tagvenue, Zankyou, Mariages.net…) are read and automatically turned into structured inquiries: date, guest count and budget arrive already filled in. There is nothing to configure on the platform side — everything goes through the email you already receive.
How does a team work in a shared inbox?
Everyone sees the same inquiries, updated in real time. Bulk actions let you handle several inquiries at once, and nothing slips through.
Can I reply directly from Joinways?
Yes. Each inquiry comes with a suggested reply you adjust before sending. The exchange stays attached to the inquiry, whatever the channel.
How do I turn an inquiry into an event?
One click. The extracted details (dates, guests, budget) pre-fill the event, and the conversation history follows.
Do I need to change my email address to use Joinways?
No. You connect your existing mailbox (Gmail or Outlook, individual or shared) in two minutes. Your emails stay in your mail client; Joinways syncs them and attaches them to inquiries. You can disconnect the mailbox at any time.
How do I make sure no inquiry goes unanswered?
Every inquiry lands in the same view, with its status, instead of sitting unseen in the personal mailbox of a colleague who's away. The team sees what's waiting for a reply, and the details already extracted — date, guests, budget — make that reply faster to write.
Can I connect my website's contact form?
Yes. You embed a form on your website by pasting in a script, and every submission creates a structured inquiry in Joinways, just like an email. Date, capacity and budget arrive already filled into the right fields.
What about inquiries that come in by phone?
Calls count too. With the Aircall integration, the caller's record pops up on screen during the call and transcripts are kept on the record. After the call, creating the inquiry takes two clicks, with the contact already attached.
What happens when the same inquiry arrives twice?
It gets matched. The same person writing through your form and then by email is recognized by their address or phone number: contact records are deduplicated and both messages attach to the same inquiry. Nothing gets handled twice.
