How long does it take to get started?
About 15 minutes: connect Inquiries, create your venue and its spaces, then generate your first quote. The “Get started with Joinways in 15 minutes” guide walks you through the full path.
Do I need to configure everything before I receive my first inquiries?
No. As soon as you connect a channel, inquiries surface in Inquiries. You can build out your catalog and billing settings as you go.
Can I import my existing contacts and events?
Yes. Import your contacts and events from Settings > Import / Export so you start with your history already in place.
Inquiries
How do my inquiries arrive in Joinways?
Connect your channels (Gmail, Outlook, Instagram, WhatsApp, form). The AI detects event inquiries and surfaces them in unified Inquiries.
Which channels can I connect?
Gmail, Outlook / Microsoft 365, Instagram (direct messages), WhatsApp Business, and a form you embed on your website. Every inquiry lands in one place, already structured.
What's the difference between an inquiry and a lead?
An inquiry is an incoming message captured by Inquiries. A lead is an inquiry identified as a genuine opportunity that you can convert into an event.
What do I do with an inquiry that isn't relevant?
You can dismiss it in one click from Inquiries. Only the real opportunities stay in your workflow.
AI and qualification
Can the AI be wrong?
Yes, but you stay in control: review and correct in one click. Your corrections make the next extractions more reliable.
What does the AI extract from an inquiry?
It reads your emails, Instagram and WhatsApp messages to extract the key details: event type, dates, attendees (Pax), discussed budget and contact information.
What is inquiry scoring for?
The AI assesses each inquiry's quality in the background to help you prioritize, and depending on your settings, trigger quote generation.
Can the AI draft my replies?
Yes. The AI email assistant drafts a reply, in the right tone and with the right details, straight from Inquiries. You review before sending.
Can the AI transcribe my calls?
Yes. You get the transcript and an automatic summary of your client calls, logged in the CRM so nothing is forgotten.
Does the AI enrich my company records?
Yes. Enrichment automatically completes company records (industry, size, website) so you can better qualify clients without manual entry.
Quotes and signatures
How do I create a quote quickly?
Draw from your catalog of services and prices, or let the AI draft a first quote from the event details, then fine-tune it in a few clicks.
Is the e-signature valid?
It carries the same legal value as a handwritten signature in most jurisdictions.
How does the client sign?
You send a public link: they view the quote and sign in a few clicks, with no account needed. What comes next (notification, conversion to invoice) can trigger automatically.
Can I change a signed quote?
Yes, via a tracked, signable amendment submitted for client approval, without losing the original version history.
Invoicing and payment
How do I go from a quote to an invoice?
In one click from the signed quote; a legal number is generated automatically.
Can I collect payments online?
Yes, by connecting Stripe. You collect deposits and balances straight from your quotes and invoices.
How do I set up my numbering and VAT?
Set your legal details, numbering and VAT rates in billing settings for compliant quotes and invoices.
Can I track an event's revenue before signing?
Yes. Track the discussed budget, expected revenue and signed amount of an event to manage profitability from the first conversation.
Venues, spaces and availability
Can I manage several venues?
Yes. Configure each venue, its spaces, its service catalog and its billing profile for consistent quotes, venue by venue.
How do I avoid double-bookings?
Check at a glance whether a space is free, block dates, import your closure days and catch conflicts before they become a problem.
What is a function sheet (BEO)?
It's the operational roadmap for the day: timing, spaces, covers, services and instructions for your teams. The AI can pre-fill it from a signed quote.
CRM, tasks and automation
How do I link a contact and a company?
The same client can appear as a contact (the person) and be linked to a company (the organization). That link gives you a 360° view and surfaces your recurring clients.
Can I create tasks and follow-ups?
Yes. Create tasks attached to your events, assign them to your team, and never let a follow-up slip again.
What is an automation workflow?
A “trigger → condition → action” sequence that acts on your behalf: follow-ups, confirmations, reminders and thank-you messages sent at the right time, with no manual work.
Are there ready-to-use templates?
Yes, a library of ready-to-copy workflows is available, along with reusable email templates to keep a consistent tone across your whole team.
Reports and steering
Which metrics can I track?
Three views: Inquiries (volume, acceptance rate, response time), Commercial (pipeline, conversion rate, signed revenue) and Accounting (confirmed net revenue, revenue per attendee, forecast), by venue, channel and salesperson.
Are reports included in all plans?
Dashboards and KPIs are available on all plans. Custom reports are included in the Pro and Enterprise plans.
Integrations
Can I sync my calendar?
Yes. Sync your confirmed events with Google Calendar or Outlook / Microsoft 365 to keep a single view of your schedule.
Does Joinways offer an API?
Yes. Generate API keys to connect Joinways to your tools via the REST API, and manage their permissions and revocation securely.
Can I connect Joinways to Claude?
Yes, via the MCP connector: query and drive your Joinways data from Claude for natural-language analysis and actions.
Data and security
Is my data secure?
Connections use OAuth2 and your credentials are not stored in plain text. Manage access from Settings.
Can I export my data?
Yes, from Settings > Import / Export, whenever you need it.
How do I protect my account?
Take care of your passwords, manage your team's access and disconnect integrations you no longer use. The “Security and access” page details the best practices.
Team and access
Can I work as a team?
Yes, invite your team, assign roles and distribute files to work together without stepping on each other.
Does my client need an account to follow their event?
No. Give them public access via a link: they view their quote, sign and follow their event, with no account needed.
How do I stay alerted to what's new?
