Electronic signature

Electronic signature lets you send a quote to your client for online signing — no printing or travel needed. As soon as they sign, you get instant confirmation and can proceed to invoicing.

This feature is available on Pro and Enterprise plans. The Basic plan does not include the quotes module.

How to send a quote for signature

  1. Open the event, then the Quotes tab.
  2. Select the quote to be signed.
  3. Click Send for signature.
  4. Verify the recipient's email and customize the message if needed.
  5. Confirm the send.

Your client receives an email with a secure link. They can review the quote and sign from any device.

What happens after signing

As soon as your client signs:

  • The quote status changes to "Signed".
  • You receive a notification.
  • The signed quote is archived with a timestamp.
  • You can generate an invoice from the signed quote.
  • The BEO (function sheet) can be initialized from the quote lines.

Reminders

If your client hasn't signed after a few days, you can send a reminder directly from Joinways.

Security and compliance

Signatures are handled by SignatureAPI, a specialized provider compliant with European electronic signature standards. Each signature is timestamped and uniquely linked to the document.

Limits by plan

The number of available signatures depends on your plan:

  • Pro — 30 signatures per venue per month.
  • Enterprise — unlimited signatures.
💡 The counter resets each month. Contact us if you need more signatures on the Pro plan.

Troubleshooting

The client says they didn't receive the signature link?

Check the contact's email address. The signature link is sent by SignatureAPI — it may land in spam. Ask the client to check their junk folder and add the sender address to their contacts.

The signature has expired — what now?

Signature links have a limited validity period. Resend the document from Joinways to generate a new signature link. The quote content stays the same.

Best practices

Send the quote for e-signature as soon as the client verbally confirms. This reduces back-and-forth and locks in the agreement faster. Include a clear deadline in your message to encourage prompt signing.

💡 Follow up within 48 hours if the quote hasn't been signed. A gentle reminder often makes the difference.

Does my client need a Joinways account to sign?

No, they receive a unique link by email and sign without creating an account.

Can I cancel a signature request?

Once sent, the link remains active. You can however create a new version of the quote if needed.

Can I track who signed and when?

Yes. Each signature is timestamped and the signer's identity is recorded on the document. You can verify this information on the quote detail page.
